HoursLedger: verified hours that survive the invoice review

HoursLedger builds hours from verified arrivals and departures, applies contract rates, and exports to payroll and invoicing systems with a full audit trail.

Mock hours ledger showing four shifts with verified check-in and check-out times, computed hours, rate codes, and one entry pending supervisor review before payroll export.

Capabilities

What HoursLedger does

  • Hours derived from geofenced check-in and check-out, not self-reported timesheets.
  • Bill rates and pay rates per client, post, and shift type, including differentials.
  • Exception review for missed punches, early departures, and unplanned overtime.
  • Approval workflow for supervisors before export.
  • CSV and API exports to common payroll and invoicing systems.
  • Every adjustment logged with who, when, and why.

In practice

How teams use security billing and payroll software

  1. Scenario 1

    Month-end invoicing

The finance team exports verified hours per client with rates applied. Invoices go out two days earlier than before, and disputes drop because each line links to arrival evidence.

  2. Scenario 2

    Overtime review

A supervisor reviews 14 flagged overtime entries, approves 12, and adjusts two with a note. Payroll exports once approvals are complete.

  3. Scenario 3

    Disputed shift

A client questions an invoice line. The operations manager opens the shift, shows the 21:58 arrival confirmation, and the dispute is closed in one email.

FAQ

HoursLedger questions

Which payroll systems does HoursLedger export to?

Any system that imports CSV, plus a REST API on Enterprise. During onboarding we map your payroll file format and test it with a real pay period.

How are rounding rules handled?

Rounding is configurable per contract: none, nearest 5, 6, or 15 minutes, with separate rules for bill and pay time.

Can officers see their own hours?

Yes. Officers see their verified hours per shift in the Officer App and can raise a query that routes to their supervisor.

What if a check-in is missing?

The shift appears in exception review. A supervisor can enter the time manually with a reason, and the adjustment is permanently flagged in the audit trail.
